Overview
The Hospitality Application is a versatile solution crafted to simplify and optimize the management of room and wake-up call operations within the hospitality industry. This application empowers administrators to easily add, manage, and customize room settings to meet their specific operational needs.
Equipped with powerful features for room configuration, the application ensures streamlined processes and accurate record-keeping. Administrators can configure key settings, such as room search, mandatory field selection, display name order adjustments.
Prerequisites
- Operating System: Windows (Windows 10 or higher recommended).
- Minimum Specifications: 8 GB RAM
Installation
Step 1 – Download the application
Step 2 – Launch the Executable file
Find the application downloaded from Step 1, double click on the file to start the installation.
Follow the steps in the wizard and complete the installation.
Configuration
When the application is first launched, you may see a warning at the top indicating the UCX is disconnected.
Step 1 – Configure the Profile
Go to Settings – Profile Manager page and enter the information as configured on the UCX under Hospitality – Connections for Mitel Interface.
- profileName – Descriptive name for the UCX
- Primary IP Domain – IP address of the UCX Mitel interface
- port – Port number of the UCX Mitel interface
Click the Save button and the application will initiate a connection to the UCX.
Step 2 – Configure Mandatory Fields
Go to Settings – Mandatory Fields page and review the fields that are required when checking in a guest. Deselect the fields that are not required and click the Save button.
First Name and Last Name cannot be deselected.
Step 3 – Add Rooms
Go to Settings – Room Range page and enter the extensions for the rooms. The extensions must be the same as those configured in the UCX.
The added rooms will now appear under the Status page.
Usage
Check-In a Guest
From the Status page, click the Edit icon for the desired room to check-in a guest.
The required fields are marked with a red * asterisk. Fill in all the required fields and click the Check In button.
Schedule a Wake-Up Call
To schedule a wake-up call for a guest, go to Wake Up – Wake Up Calls page.
Select Today or Tomorrow, enter the Time and Room, then click the Wake Up button.
All scheduled wake-up calls will be listed on the Wake Up List page.
Wake-up calls can only be scheduled within the next 23 hours 59 minutes from the current time.
Check-Out a Guest
To check-out a guest, select the Edit icon for the room, then select the Checkout tab.
Click the red Check Out button and then click Yes to confirm.
Additional Settings
On the Settings page, there are additional capabilities available and preferences that can be configured.
Display Name Order
Configure how the guest name is displayed.
Search
Enter the guest name in the search box and click Search.
Language
Select the desired language for the application.
Reset Settings
This action will delete all room records from the Hospitality application.

Overwrite UCX Database
This action will overwrite room records on the UCX with the data from the Hospitality application.
Troubleshooting Tips
If there are connection issues, login to UCX Administration, navigate to Support -> System Log Files page, from the drop-down list select hospitality.log. You can see all the PMS messages between the UCX and the application here.
The hospitality app sends a keepalive message every minute to the UCX.
If the hospitality app loses connection to the UCX and is unable to recover on its own, perform the following steps:
- Terminate the Hospitality application
- Go to the System – Dashboard page and restart the Hospitality Service
- Start the Hospitality application
Limitations
Messages to UCX
- The application sends only Checkin/Checkout, Wakeup messages to the UCX.
- The application does not send room status messages. (It is recommended to disable room status messages in the UCX.)
To disable room status messages on the UCX, navigate to PBX -> Feature Codes page. Scroll down to Hospitality section and disable all the Room Status codes.
Call Restrictions
- The application does not have the ability to set Call Restrictions. UCX will default to international.
Wakeup Calls
- Wakeup calls can only be scheduled for up to 23 hours and 59 minutes in advance.
- Scheduling a wakeup call from the application will cancel DND. Hence it is important to DISABLE DND on all guest room phone extensions.
